SHIPPING & DELIVERY POLICY

1. Overview

Orbit Industrial Supplies PTY Ltd. supplies industrial lubricants, hygiene products, corrosion protection chemicals, dust suppression products, and industrial tools to businesses across South Africa. We operate from our Durbanville, Cape Town distribution hub and our Garden Route branch, and deliver nationally through our nominated courier and freight partners.

This policy sets out our delivery regions, fees, lead times, self-collection procedure, and the process for reporting delivery issues. All delivery fees stated in this policy include VAT at the prevailing rate.

 

2. Delivery Regions, Fees and Lead Times

The table below sets out our standard delivery fee structure. All fees are VAT inclusive. Lead times are calculated from the date of order confirmation and payment receipt (or approved credit), not from the date of order placement.

3. Free Delivery

3.1  Free delivery applies to all orders with an invoice value of R1,000.00 (VAT inclusive) or more, delivered to Cape Town and its suburbs, and Somerset West and Strand.

3.2  Free delivery does not apply to Gauteng, Durban, Garden Route, Northern Cape, or non-metro destinations regardless of order value. Transport costs for these regions are charged in full as set out in the delivery table above, or quoted separately for bulk and freight volumes.

3.3  Where a single order is split into multiple deliveries at the Purchaser's request, the free delivery threshold applies to each individual delivery, not the combined order value.

 

4. Self-Collection — Durbanville Warehouse

4.1  Customers are welcome to collect orders directly from our Durbanville warehouse at no charge. Self-collection is available during business hours, Monday to Friday.

4.3  Please contact us before collecting to confirm that your order is ready and stock is available. Orders must be paid in full, or an approved credit facility must be in place, before goods will be released for collection.

4.4  The person collecting the order must present valid identification and, where collecting on behalf of a company, a company order or authorisation letter. The signature of the collecting person on the Orbit Industrial collection note constitutes conclusive proof of receipt of the goods in the quantity and condition noted.

 

5. Garden Route Deliveries

5.1  Orbit Industrial's Garden Route branch serves businesses in Mossel Bay, George, Wilderness, Knysna, and Plettenberg Bay. Our Garden Route representative, Annette Scholtz, manages regional deliveries and can be contacted directly:

5.2  Standard parcel deliveries to the Garden Route (0–30 kg) are charged at R219.00 (VAT incl.) with a 3-business-day lead time. Bulk, drum, or pallet deliveries to the Garden Route are quoted individually — contact Annette for a freight quote.

 

6. Northern Cape — Mining & Agricultural Deliveries

6.1  Orbit Industrial supplies mining operations, farms, and industrial businesses throughout the Northern Cape, including Kathu, Postmasburg, Upington, and Springbok. Our Northern Cape representative, Riaan Marais, manages regional logistics and bulk supply:

6.2  Standard parcel deliveries to the Northern Cape (0–30 kg) are charged at R219.00 (VAT incl.) with a 3-business-day lead time. Bulk drum and IBC deliveries to Northern Cape mining sites and farms are quoted individually based on volume and destination — contact Riaan for a logistics quote.

 

7. Bulk, Drum, IBC and Pallet Deliveries

7.1  Orbit Industrial's core business is the bulk supply of industrial lubricants, chemicals, and consumables. Many orders involve 20L, 25L, 60L, and 210L drums, 1,000L IBCs, and full pallet quantities — all of which exceed standard courier weight limits.

7.2  For all orders exceeding 30 kg, or any order involving drum, IBC, or pallet quantities, delivery is quoted individually based on: (a) total weight and volume; (b) delivery address and accessibility; (c) number of items and packing configuration; and (d) current freight rates from our logistics partners.

7.4  Freight quotes are valid for 14 calendar days from the date of issue. Orbit Industrial will confirm the quoted freight cost in writing before processing a bulk order.

 

8. Order Processing and Dispatch

8.1  Orders are processed on business days (Monday to Friday, excluding South African public holidays). Orders received and confirmed before 12:00 on a business day will generally be processed and dispatched on the same day, subject to stock availability.

8.2  Orders received after 12:00, or on weekends and public holidays, will be processed on the next business day.

8.3  Orbit Industrial will notify the customer by email or telephone if any item in an order is out of stock or requires a longer lead time. In such cases, the Purchaser may elect to: (a) wait for the full order to be fulfilled; (b) accept a partial delivery of available items; or (c) cancel the unavailable items for a full refund.

8.4  Dispatch is subject to payment being received in full, or an approved credit facility being in place, prior to dispatch.

 

9. Tracking and Delivery Confirmation

9.1  Where goods are dispatched via our nominated courier partner, a tracking number will be provided to the customer by email or WhatsApp once the order has been collected by the courier.

9.2  Customers can use the tracking number to monitor their delivery directly with the courier. Orbit Industrial's team is available to assist with delivery queries if required.

9.3  Delivery is confirmed when the goods are received and signed for at the nominated delivery address. The signature of any employee, agent, or representative of the Purchaser on the courier's delivery note constitutes conclusive proof of receipt.

 

10. Damaged Goods and Delivery Discrepancies

10.1  All deliveries must be inspected at the point of receipt before signing the courier's delivery note. Where visible damage or a discrepancy in quantity is identified, this must be noted on the delivery note before signing.

10.2  Transit damage must be reported to Orbit Industrial in writing within 24 hours of delivery, with photographs of the damaged goods and packaging attached. Reports received after 24 hours may not be accepted.

10.3  Quantity or product discrepancies must be reported in writing within 2 business days of delivery.

10.5  Where a delivery error or transit damage is confirmed, Orbit Industrial will arrange collection of the affected goods at no cost to the customer and will either replace the goods or issue a credit note, at the customer's election.

Do not sign an unqualified delivery note for visibly damaged goods. Signing without noting damage may limit your ability to claim. If in doubt, note 'received under protest — goods not yet inspected' before signing.

 

11. Faulty and Incorrectly Chosen Goods

11.1 Faulty Goods

If a product received is confirmed to be faulty or defective, Orbit Industrial will arrange and pay for collection from the original delivery address and will cover the cost of delivering replacement goods. Please contact us to initiate a faulty goods claim before returning any product. A Return Merchandise Authorisation (RMA) number is required before any return will be accepted — refer to our Refund and Returns Policy for the full procedure.

 

11.2 Incorrectly Chosen Goods

Orbit Industrial cannot accept liability for goods correctly supplied in accordance with a customer's order, where the customer subsequently determines that the goods are not suitable for their intended purpose. Where a customer has ordered an incorrect product, the following applies:

       The customer is responsible for return shipping costs to the Orbit Industrial Durbanville warehouse

       Goods must be 100% unused, in original undamaged packaging, and returned within 5 calendar days of delivery

       A Return Merchandise Authorisation (RMA) number must be obtained from Orbit Industrial before returning goods

       A handling and restocking charge of up to 10% of the invoice value may apply
